Step 1: Prepare Your Google Spreadsheet

1️⃣ Create a new Google Spreadsheet or open an existing one.
2️⃣ Add a column for mobile numbers and name it exactly as mobile (case-sensitive).
3️⃣ Enter mobile numbers in the following format:

  • Correct: 917777777777

  • Wrong: +91 7777777777, 91-7777777777, 7777777777
    🚨 No spaces, symbols, or country code errors.
    4️⃣ Add any other columns for message variables (e.g., Name, Order ID, Status).

Step 2: Connect Your Spreadsheet with WhatsEra

2.1 – Set Up the Integration in WhatsEra

1️⃣ Log in to WhatsEra.
2️⃣ Go to the “Spreadsheet” section.
3️⃣ Click on "Create New Event".
4️⃣ Enter an Event Name (this helps in identifying multiple integrations).

  • Example: Order Updates, New Leads Follow-up
    5️⃣ Select the WhatsApp Channel where messages will be sent.
    6️⃣ Enter the exact Sheet Name from your spreadsheet (e.g., Sheet1, Orders).
    7️⃣ Enter the Mobile Header Field (must match the column name in Google Sheets exactly, e.g., mobile).
    8️⃣ Find the Spreadsheet ID:

  • Open your Google Sheet

  • Look at the URL:

https://docs.google.com/spreadsheets/d/1Ls0mN68ptnHvS7xi923AOV0GzG0WBCOFJNzI_hYZ7g4/edit?pli=1&gid=0

  • Copy the bold text between /d/ and /edit

  • Paste this ID into the Spreadsheet ID section in WhatsEra.

2.2 – Add Message Template with Variables

1️⃣ In the Message section, enter the text you want to send when a new row is added.
2️⃣ Use {{Variable}} format to pull data from the spreadsheet.

Example Message Template:

Hello {{Name}}, Your order #{{Order ID}} is now {{Status}}. Thank you for shopping with us! 🚀

✅ This will be replaced dynamically with actual data:

Hello Rahul, Your order #12345 is now Confirmed. Thank you for shopping with us! 🚀

3️⃣ Click Create – WhatsEra will now generate a Webhook URL.
4️⃣ Copy this Webhook URL – it will be used in Google Sheets.


Step 3: Link Google Sheets to WhatsEra Using Webhook

3.1 – Install Pabbly Connect Webhooks Add-on

1️⃣ Open your Google Spreadsheet.
2️⃣ Click on Extensions → Add-ons → Get add-ons.
3️⃣ Search for "Pabbly Connect Webhooks" or click this link:

4️⃣ Install the add-on.

3.2 – Configure Pabbly Connect Webhooks

1️⃣ Click on Extensions → Pabbly Connect Webhooks → Initial Setup.
2️⃣ In the Webhook URL field, paste the Webhook URL copied from WhatsEra.
3️⃣ Set the Trigger Column:

  • This is the last column that must be filled before sending a message.

  • Example: If your sheet has columns A, B, C, and D, and you want to trigger a message when column D is filled, set D as the Trigger Column.
    4️⃣ Click Submit and test the setup.


Step 4: Enable Automation for New Entries

1️⃣ Go to Extensions → Pabbly Connect Webhooks.
2️⃣ Click Send on Events – this ensures messages are sent automatically.

🚀 Your integration is now live! Anytime a new row is added, WhatsEra will send an automated WhatsApp message.


✅ Important Notes & Best Practices

📌 Formatting & Case Sensitivity

  • Ensure exact match for mobile and other variable column names.

  • Use proper mobile number format: 91XXXXXXXXXX (no spaces, symbols).

  • Sheet Name, Spreadsheet ID, and Variables are case-sensitive.

📌 Trigger Column Best Practices

  • Set the Trigger Column as the last field that gets updated before sending a message.

  • Example: If updating Status is the final step, set Status (column D) as the Trigger Column.

📌 Testing the Integration

Before using this for real customers:
1️⃣ Add a test row with dummy data.
2️⃣ Check if a WhatsApp message is received.
3️⃣ If the message isn’t sent, review:

  • Webhook URL setup

  • Trigger Column setting

  • Mobile number format
