How to Create a Campaign
Campaign Name:
A meaningful name helps you identify your campaigns easily in the dashboard.
For example, use names like "New Year Sale 2024", "Feedback Survey", or "Order Confirmation Follow-Up".
Ensure that the name reflects the purpose of the campaign to avoid confusion when managing multiple campaigns.
Select Contact List:
Choose the contact list from previously uploaded files.
These files can include personalized variables like names, order IDs, or custom fields for dynamic messaging.
Ensure the contact list is up-to-date and contains valid WhatsApp numbers to maximize campaign reach (if you don’t know then no worries it will automatically check before sending and skip the number if its not exist on WhatsApp).
Please do not select an incorrect contact list which have spaces or blanks in mobile field.
Schedule:
WhatsEra allows you to schedule campaigns up to 3 days in advance.
This feature ensures your messages reach your audience at optimal times, improving engagement rates.
Example: If launching a flash sale, schedule your messages to go out a few hours before the sale starts.
Stop Limit:
A stop limit lets you define how many messages you want to send in a single run.
For example, if your contact file contains 10,000 numbers but you want to send messages to only 500 contacts initially, set the stop limit to 500. The system will halt the campaign automatically after reaching the limit.
This helps manage resources and test campaign performance on a smaller scale.
Select WA Account:
Select the active WhatsApp account from which messages will be sent.
For businesses with multiple WA accounts, you can assign multiple accounts to a single campaign (this will work only when you have the multiple WA account plan).
You can add messages limit while selecting multiple WA account, like after how many message you want to change the account like, if you added 5 then after 5 messages WhatsEra will automatically change the WA account for next 5 messages.
This feature distributes the workload across accounts, reducing the risk of account blocking due to high message volume.
Please select you WA account which have an active Due Date to run an smooth campaign.
Delay:
Configure a delay (in seconds) between messages.
Adding delays mimics human behavior, reducing the chances of WhatsApp account restrictions.
Example: A delay of 1-60 seconds between each message ensures smooth delivery without overwhelming the system.
You can add multiple delays as well, if you added multiple delay this will help a lot to avoid to frequent blocking. You can add delays like 5, 11, 59, 42 some random delays.
Message Content:
Compose the campaign message directly in the message section.
Personalize the message using variables such as
{{name}},{{order_id}}, or any custom field from your contact list.Use the variable chips visible in the header section to place them easily in the desired position within the message.
Attachment:
If needed, include an attachment such as images, PDFs, or documents.
Add captions to your attachments for context or promotional messaging.
Note: If your selected template already includes an attachment, avoid duplicating it here unless using a different attachment.
Template:
Choose one or more pre-created templates for your campaign.
Templates are ideal for maintaining consistent branding and formatting across messages.
You can use templates alongside manually written messages or standalone.
Create the Campaign:
Once all details are entered, click Create.
The campaign will appear in "Created" status, awaiting your confirmation to start.
Managing Campaigns
Once your campaign is created, you can manage it using the options available in the campaign dashboard.
Start Campaign:
To initiate the campaign, click the three-dot menu next to the campaign and select Start.
The status will change from "Created" to "Running". Messages will begin sending automatically.
Monitor Progress:
View real-time updates on message delivery through the dashboard or on your mobile device.
Keep track of how many messages have been sent, skipped, or encountered errors.
Edit Campaign:
If the campaign is in "Created" status, you can modify details like the message, contact list, or attachments.
Copy Campaign:
Duplicate an existing campaign to save time when creating similar campaigns.
Stop Campaign:
Pause a running campaign if you need to make changes or halt messaging.
Download Campaign Report:
After the campaign is complete, download a detailed report to review:
Total messages sent.
Numbers skipped (e.g., non-WhatsApp numbers).
Errors encountered and reasons.
Please run an a “TEST” campaign before running an final campaign to ensure all things are fine.

Campaign Status Automatically Shows "Stopped"
Possible Cause:
The selected WhatsApp account is inactive or not on an active plan.Solution:
Check the due date of your WhatsApp account plan.
Ensure you’ve selected an active WhatsApp account under an active plan.
Reactivate your WhatsApp account or select another active account from your settings.
Campaign Status "Running" but Messages Are Not Sending
If your campaign status shows "Running," but no messages are being delivered, follow these checks:
Check the WhatsApp Account:
Verify that the selected WhatsApp account is active.
Ensure the profile picture is visible, as it’s a required indicator for proper account connection.
If the account is inactive or not properly connected, reconnect it using the correct setup procedure.
Check the Contact List:
Ensure all numbers in the contact file are in the correct format.

Campaign Status Shows "Completed" but No Messages Were Sent
Possible Causes:
WhatsApp account got disconnected during the campaign.
The attachment size exceeds the supported limit (8 MB).
Solution:
Download the campaign report to identify specific errors.
Ensure the WhatsApp account is connected properly and reattempt the campaign.
Reduce the size of the attachment to meet the 8 MB limit.
Messages Are Not Skipping Non-WhatsApp Numbers
Cause: Numbers in the contact list are invalid or not registered on WhatsApp.
Solution:
Remove non-WhatsApp numbers from the contact file.
Ensure all numbers are in a valid format before uploading.
5. Attachment Errors

File size exceeds the 8 MB limit.
