The Leads section helps you track and organize users who have engaged with your WhatsApp automation by responding to specific keywords. When a user replies with a saved keyword, their details are automatically stored in a lead file for better tracking and retargeting.

How It Works

Lead File Creation

  • When a user replies with a keyword that you’ve set up in AutoReply, a lead file is automatically generated.

  • The file is named “Receiving of {Keyword Name}”, making it easy to identify and filter leads based on specific products or services.

Lead Data Available

Each lead entry contains the following details:

  • WhatsApp Username – The name from the user’s WhatsApp profile.

  • Mobile Number – The user’s WhatsApp contact number.

  • Timestamp – The exact date and time of their response.

  • Your Channel – The WhatsApp Business number they interacted with.

  • Your Mobile Number – The number associated with your WhatsEra account.

  • Keyword Triggered – The keyword that led to their engagement.

Exporting Leads

  • You can export the lead data anytime for further analysis, segmentation, or sharing with your sales team.

  • The exported file will be in CSV format, which can be used in CRM systems or marketing tools.

Retargeting Leads

  • You can create a new campaign and retarget these users by sending follow-ups, promotional offers, or engagement messages.

  • The lead data can also be shared with your team to manually follow up and convert potential customers.

Important Notes & Technical Considerations

🔹 Keyword Accuracy Matters: Ensure that your AutoReply keywords are set up correctly. If users make spelling mistakes or use variations, they won’t be captured as leads.

🔹 Data Storage & Privacy: WhatsEra securely stores lead data, but ensure you follow WhatsApp’s guidelines and privacy policies when retargeting.

🔹 Duplicate Entries Prevention: Leads are stored uniquely based on timestamps. If the same user replies multiple times with the same keyword, they will be listed multiple times unless managed otherwise.

🔹 Channel Identification: If you’re using multiple WhatsApp Business accounts, verify that the lead file is linked to the correct channel before retargeting.

🔹 Use Cases for Exported Data: The exported lead data can be uploaded to Meta Ads Manager for custom audience targeting or used for email/SMS campaigns.
